Creating your first broadcast campaign

5 minutes read time Difficulty: beginner

Creating your first broadcast campaign

Send personalized WhatsApp messages to hundreds or thousands of contacts at once.

Prerequisites

Before creating a campaign, you need:

  • ✅ A connected WhatsApp Business account
  • ✅ At least one approved message template
  • ✅ Contacts to send to (imported or manually added)

Step 1: Create a new campaign

  1. Go to Campaigns in the sidebar
  2. Click "New Campaign"
  3. Enter a Campaign Name (e.g., "May Promotion 2026")

Step 2: Select your WhatsApp account

Choose which WhatsApp Business number to send from (if you have multiple accounts connected).

Step 3: Choose a template

  1. Select an approved template from the dropdown
  2. You'll see a preview of the template on the right side
  3. If your template has a header image, upload it now

Step 4: Add recipients

You have four options:

Manual entry

Type phone numbers directly:

+919876543210, John Doe
+919876543211, Jane Smith

Import from CSV

Upload a CSV file with columns: phone_number, name, and any template parameter columns.

From Contacts

Select existing contacts from your contact list.

From Segments

Choose a saved contact segment (e.g., "Active Customers", "New Leads").

Step 5: Review and send

  1. Check the recipient count and template preview
  2. Choose when to send:
    • Send Now — Starts immediately
    • Schedule — Pick a date and time
  3. Click "Start Campaign"

Monitoring your campaign

Once started, you can track in real-time:

  • Sent — Messages dispatched to WhatsApp
  • Delivered — Confirmed delivered to recipient's phone
  • Read — Recipient opened the message
  • Failed — Message could not be delivered

Campaign actions

  • Pause — Temporarily stop sending (resume later)
  • Cancel — Stop the campaign permanently
  • Retry Failed — Resend to recipients who failed

Tips for success

  1. Start small — Test with 50-100 contacts before scaling up
  2. Personalize — Use template variables (name, order ID, etc.)
  3. Time it right — Send during business hours (9 AM - 6 PM)
  4. Respect opt-outs — Remove contacts who ask to stop receiving messages
  5. Monitor quality — If too many people block you, Meta will restrict your account

Troubleshooting

"No approved templates" — Create a template in Settings → Templates and wait for Meta approval.

"Campaign stuck in processing" — Check your WhatsApp account connection. Try the "Test Connection" button in Settings → Accounts.

"High failure rate" — Common causes: invalid phone numbers, numbers without WhatsApp, or messaging limit reached.
